Production companies say "the site is live," advertising agencies say "clicks have increased," and SEO companies say "rankings have improved." Even as each progresses, there are cases where inquiries or purchases do not increase. When outsourcing, it is essential to define the handoff points and designate who is responsible for monitoring final results.
NEXT SCIENCE manages its own Shopify, Amazon, Meta ads, landing pages, SEO, GA4/GSC/Clarity, and AI integration. Based on our experience that a high advertising CTR can still lead to bottlenecks in the purchase funnel, our policy is not to judge overall results solely on individual metrics. The following is not an evaluation of specific production or advertising agencies, but rather a framework for auditing collaboration.
The problem isn't the division of labor itself, but information gaps at the boundaries
There are advantages to hiring specialists. However, improvement stalls when the landing page manager is unaware of ad messaging, the sales representative has not verified the destination links of SEO articles, or no one is designated to monitor the situation when sales decline.
Three common misalignments
- Misalignment of objectives: Ads focus on clicks, articles on traffic, and sales on qualified leads.
- Misalignment of explanations: Promises made in ads or articles differ from the terms on product/service pages.
- Misalignment of change management: Updates to landing pages or pricing are not communicated to those handling delivery or analysis.
Even in internal e-commerce operations, it becomes difficult to track changes if product conditions, landing pages, ads, and analytics are viewed in isolation. We begin by sharing current user flows and change logs in a single document.
Define the metrics that all stakeholders monitor
| Stage | Metrics to monitor | Discussion points if weak |
|---|---|---|
| Search/Ad Entrance | GSC search terms/impressions, ad link clicks/LP arrivals | Alignment of target audience and messaging |
| Articles/LP | Sequential transition from target page to Solutions/Products | Body text, comparisons, CTAs, destination links |
| Services/Products | Arrival at inquiries, actions toward cart/checkout | Scope of support, conditions, pricing, next steps |
| Final Results | Confirmed consultation requests, Shopify orders, profitability | Quality of leads, order conditions, sales structure |
We do not judge order volume solely by GA4 page views or form events. We confirm definitions and cross-reference ad-attributed revenue, GA4 purchases, and actual orders. We use Clarity to formulate hypotheses about what is happening on screens where metrics are weak.
Five items required for handoff documentation
- Target customers and the actions you want them to take on the site.
- URLs for Ads/Articles → LP/Solutions → Products/Inquiries.
- Personnel responsible for each stage and the decision-maker for changes.
- Metric definitions, target periods, and segmentation of devices/traffic sources.
- Dates of change, hypotheses, implementation details, results, and subsequent decisions.
For example, if inquiries from an article are low, we consult not only the SEO specialist but also the service explanation manager to ensure that the problems addressed in the article connect clearly to what can be discussed during a consultation.
Centralizing communication and maintaining specialization are not mutually exclusive
You don't need to move everything to a single company. You can utilize existing personnel while designating a primary point of contact responsible for overall priorities, information sharing, and final verification. Any response exceeding the contractual scope or changes to measurement/themes should be handled only after confirming their impact.
While AI-driven report aggregation is useful, avoid automatically summing up metrics that use different definitions. It is critical to document the conditions necessary for decision-making and any items that cannot yet be verified.
